Executive Operations Support

Executive operations support for founders carrying too much of the business.

I manage the executive, administrative and cross-functional work that keeps growing companies organised, from priorities and communications to recruitment, e-commerce operations, documentation and follow-through.

Supporting founder-led and e-commerce businesses across UK, European and US time zones.

When the founder becomes the operating system

You probably do not need another task-taker. You need fewer things returning to you.

The work I take on tends to sit where executive support, operational coordination and follow-through overlap: important enough to matter, recurring enough to consume capacity, and fragmented enough to keep landing back on the founder.

01

Routine decisions keep escalating upward.

The team can execute, but approvals, exceptions and small judgement calls still depend on the founder.

02

Meetings create activity, not reliable follow-through.

Actions exist across notes, chat threads and memory rather than in one owned system with deadlines.

03

Administrative work fragments strategic time.

Calendar changes, recruitment, reporting, customer issues and documentation repeatedly interrupt higher-value work.

04

Processes live in people instead of systems.

Important knowledge is difficult to delegate because the workflow, authority and standard have never been made explicit.

My role is to create enough structure, ownership and visibility that the business needs less founder intervention, not more.

A look at the work.

Selected work is anonymised, reconstructed or presented as a portfolio simulation where noted. Each case study states its evidence basis and disclosure.

Three ways I work with clients.

i.

Executive Operations

Ownership of the executive and administrative work that keeps a founder-led business organised, responsive and moving forward.

  • Inbox, calendar and priorities management
  • Meeting coordination and follow-through
  • Travel and logistics coordination
  • Research, reporting and business insights
  • Confidential stakeholder communications
ii.

E-Commerce and Commercial Operations

Accurate, maintainable catalogue and commercial administration across Shopify, WooCommerce and eBay.

  • Product listing creation and maintenance
  • SEO-aligned content and metadata
  • Photo and video asset organisation
  • B2B product specification sheets
  • Marketing and commercial reporting
iii.

Recruitment and Process Infrastructure

End-to-end hiring and the documentation, SOPs and asset systems that make ongoing operations easier to run and easier to hand over.

  • Job descriptions, sourcing and screening
  • Interview scheduling and candidate tracking
  • Onboarding and contract preparation
  • SOPs, playbooks and process documentation
  • SharePoint and Drive asset systems

Clarify. Structure. Own. Improve.

i.

Clarify

Separate the real operating problem from the noise around it. Define priorities, stakeholders, constraints, decisions and what genuinely requires executive judgement.

ii.

Structure

Turn scattered information into a workable system: cadence, tracker, SOP, dashboard, authority rule, template or communication rhythm.

iii.

Own

Run the process consistently. Coordinate people, protect deadlines, document decisions and surface only the issues that actually need escalation.

iv.

Improve

Use what the operating data shows. Tighten the workflow, reduce friction, remove unnecessary founder touchpoints and make the system easier to maintain.

Support structured around the responsibility you need covered.

Engagements are scoped around the work to be owned, the access required and the operating overlap needed. Support may be structured as an ongoing executive-support retainer, a broader executive-operations engagement or a defined operational project.

Ongoing retainers start at $1,000/month. Defined operational projects are scoped separately based on complexity, access and deliverables.

Excellent work across the board. Roxanne's submissions are the most thorough I've received in the past year, and her judgment on the projects I've handed over has genuinely made my day. Glad to have her on board.

Roxanne is a highly dependable Executive Assistant who doesn't just complete tasks — she takes ownership of outcomes. She's detail-oriented, proactive, and strong at turning messy instructions into clear action items, polished communications, and organised workflows. Her consistency, adaptability, and willingness to learn make her a valuable operational partner. The kind of VA/EA I'd trust with sensitive, fast-moving work.

Roxanne has been an outstanding support to our business operations. Her work is precise, organised, and highly detailed — the way she structures completed task lists, reports, and project documents makes it easier to manage multiple priorities. Her NDA draft was one of the strongest I've reviewed, even compared with documents from experienced legal professionals — and she was careful to note it still required proper legal review, which showed real judgment. She turns broad ideas into structured outputs, action items, and follow-up plans, and her attention to dates, version clarity, and detail keeps important work from getting lost. A valuable part of the team.

A quiet operator behind well-run businesses.

I run Roxanne Executive Operations, providing executive operations support to founders, executives, and online brands across multiple time zones.

My background combines 4+ years of executive assistance for C-suite leaders and founders across the US and UK, e-commerce operations across Shopify, Etsy, and eBay, and operations leadership from academia. I am comfortable owning an executive's calendar, running a recruitment pipeline, structuring product data, and writing the playbooks that turn one-off tasks into repeatable systems.

I bring graduate-level training in business management and a Master's in Business Administration to the work. That training shows up in how I think: clearly, systematically, and with respect for the time of the people I work with.

My experience spans founder and C-suite support, e-commerce operations, recruitment, customer-service operations and process documentation across UK and US-facing environments. The full employment timeline is available on LinkedIn; this site focuses on the work and systems most relevant to an operating partner relationship.

I adapt quickly to adjacent platforms where the underlying workflow is familiar. Tool proficiency matters; operating judgement matters more.

The questions that matter before we start.

I work across executive support and the operational work surrounding it: priorities, calendars, meeting follow-through, recruitment, reporting, documentation, e-commerce administration, stakeholder coordination and recurring processes that would otherwise keep returning to the founder.

I am Philippines-based and regularly support UK and US-facing operations. Engagement hours are agreed around the operating overlap actually required rather than forcing every client into the same schedule.

We start with the operating problem, the responsibilities you need covered, the people and systems involved, and the level of access required. From there I recommend an ongoing retainer or a defined operational project with a clear scope.

I work on a least-access basis, use client-approved systems and password managers, and treat executive communications, recruitment information, commercial data and internal documentation as confidential by default.

Yes. Defined projects can include workload audits, recruitment systems, documentation/SOP builds, meeting operating systems, reporting structures or other contained operational problems with a clear deliverable.

Ongoing retainers start at $1,000 per month. Project work is scoped separately based on complexity, access, operating overlap and deliverables. I confirm scope and commercial terms before work begins.
